Everyone who signs in gets a username and password from your company admin. An email address is strongly recommended: it is where they get their welcome email and every notification. Casual workers in payroll do not sign in; add their email only to send them their payslip.
Only the roles you allow. For each part of the app, a role gets no access, can only look, can add and edit, or can manage, for every site or only its own sites.
